VOLUNTEER STANDING COMMITTE CHAIR – VOLUNTEER STANDING COMMITTEE 2013/14

Description

Oversee and motivate the committee

Organise the committee agenda prior to meetings taking place and ensure all members have been included in the process

Chair the Volunteer Standing committee at meetings and encourage open dialogue between committee members

Act as spokesperson for the Committee

Meet regularly with volunteering staff to discuss committee progress and to take down information which can then be disseminated back to individual committee members at meetings

Ensure effective communication between staff and committee

Attend volunteering staff meetings and volunteering forums where necessary

Attend Union Council meetings to represent Volunteering

Promote Volunteer Standing Committee elections for following year

Meet regularly with Activities Officer to discuss committee progress and to take down information which can then be disseminated back to individual committee members at meetings

Ensure effective communication between Activities Officer and committee

Commitment

Attend fortnightly committee meetings.

Regular one to ones with volunteering staff / Activities Officer.

Attend additional volunteering events (fairs, showcases, socials)

Regular meeting with role specific team to plan and organise events and campaigns

Essential Skills

Committed to personal development and willing to attend various training sessions related to role.

Willingness to listen to others and respect their opinions.

Able to work on own initiative and represent student volunteers.

Able to work as a team

COMMUNITY OFFICER – VOLUNTEER STANDING COMMITTEE 2013/14

Description

To take part in committee discussions in order to provide feedback from the Community Reps and ensure the Reps are updated with relevant information from the committee.

Attend Monthly Community Rep meetings.

Support Community Rep events and campaigns through promotion and recruiting and leading volunteers when required.

Lead the event support team for ‘Student Week’ in February.

Share feedback/opportunities from community groups in relation to volunteering and general community needs.

Promote and explain the brokerage system to Community Reps so they feel confident in responding to enquiries from community groups requesting volunteers.

Commitment

Attend fortnightly committee meetings.

Regular one to ones with volunteering staff / Activities Officer.

Attend additional volunteering events (fairs, showcases, socials)

CULTURAL OFFICER – VOLUNTEER STANDING COMMITTEE 2013/14

Description

Represent the views of volunteers involved in cultural volunteer opportunities during committee meetings.

Lead and support a team of ‘Cultural Ambassador’ volunteers to keep students up to date with cultural events and opportunities taking place in the city.

Input into the development of the cultural programme. Ensuring that it meets a community need through community research and regular meetings with the Community Development Co-ordinator.

Have the opportunity to devise and implement new cultural events/volunteer activities.

Attend cultural networking events where possible and identify opportunities for students.

Be available to advise and support your allocated volunteers throughout the year.

Commitment

EQUALITIES AND CAMPAIGNS OFFICER – VOLUNTEER STANDING COMMITTEE 2013/14

Description

Lead and support a team of volunteers to assist in creating and running campaigns to encourage social groups not traditionally involved to volunteer.

Assist in delivering training to volunteers in relation to inclusion and equality alongside Volunteering staff.

Look into the profile of student volunteering at Hallam Union and research ways to target recruitment and engage social groups not traditionally involved.

Find and develop new and innovative campaigns and materials to recruit volunteers to social groups not traditionally involved. Ensure the Volunteer Standing Committee are involved with these activities.

Look into retention issues and examine issues relating to why students disengage with Volunteering with Hallam Union, for example assist staff to develop an engagement survey to send to all volunteers who disengage over the year.

Take a lead role alongside staff and the elected Officer in ensuring that Volunteering with Hallam Union adheres to Union and external policy and good practice in equal opportunities.

Be involved in the planning and implementation of a ‘Food for thought’ at the end of the academic year to gather information and feedback from student volunteers.

MARKETING & COMMUNICATIONS OFFICER – VOLUNTEER STANDING COMMITTEE 2013/14

Description

Lead and support a team of volunteers to oversee the promotion of Volunteering with Hallam Union.

Contribute too and produce a volunteer publication that will be available via print and/or electronically (PDF).

Edit, produce and where necessary write contributions for a Volunteering Newsletter.

Contribute to the ‘Volunteering’ section on the Hallam Union website.

Use ‘The Volunteer’s’ blog as a means to promote & celebrate Volunteering with Hallam Union throughout the academic year.

Assist in any additional Union publications, such as student week booklet, as requested.

Advise and assist individual projects with publicity where requested.

Find and develop better ways of promoting and marketing volunteer activities within Hallam University

Assist in recruitment by engaging with students in a variety of mediums e.g. recruitment lectures, Fresher’s day stalls, newsletters.

Communicate effectively with your team, each other and the committee

A member of the team will be nominated to take minutes at each committee meeting. However, if no one puts themselves forward the Marketing and Communications office will take minutes at committee meetings.
